BTF Rules

British Triathlon

It is important that you know the BTF rules that govern our race. Rules have changed recently and you should familiarise yourself with the changes. Please look at the BTF Competition Rules page

Cancellation, Withdrawal & Refund Policies

Please note our cancellation policy covers three scenarios:

  1. the Discretionary Cancellation Policy where 7Oaks Triathlon Club (“we” “our” or the “organiser”) decide to cancel because we believe the 7Oaks triathlon due to take place on 7th May 2023 (the “Event”) would raise insufficient funds to meet our costs;
  2. the Forced Cancellation Policy, where we are forced to cancel for reasons beyond our control; and
  3.  the Withdrawal Policy where you, the entrant, choose to cancel, transfer or defer.

Please note that in all scenarios all refund amounts will be paid net of the Active processing fee incurred on booking unless specified.

Discretionary Cancellation

You understand and agree that the organiser reserves the right to cancel the Event at its discretion (Discretionary Cancellation) at any date up to 6th April 2023. In the event of Discretionary Cancellation, a full refund will be paid, or the entrant may defer their entry to 2024 (the option being exercisable by the entrant).

Forced Cancellation

You understand and agree that the organiser reserves the right to cancel the Event due to circumstances outside of our control including but not limited to adverse weather, accidents, orders by statutory authorities (including Covid type restrictions), public disorder, or for any other reason that would affect the safety and security of Event participants and/or spectators (“Forced Cancellation”) In the event of Forced Cancellation there will not be an option for the entrant to defer their entry, but a refund will be paid as follows:

(a) Cancellation of the Event up to and including 6th April 2023 – a refund of 90%

(b) Cancellation of the Event between 7th April 2023 and the day of the Event – a refund based on our assessment at the time of race costs incurred to date, but not less than 50%

Withdrawal

Should you wish to withdraw from the race you are able to defer your entry until the 2024 race as long as you contact us (race@7oakstriclub.co.uk) on or before 6th April 2023. After this date we cannot defer your entry. Alternatively, you may transfer your place to another athlete by logging in to your Active Endurance account and entering the email address of the person you want to transfer your entry to on or before 6th April 2023. After they have registered and paid you will receive a refund of your race entry less a processing fee. For the avoidance of doubt no refunds can be paid in the event of withdrawal

Covid FAQs

  • Competitor, marshal and spectator safety is paramount.
  • Our event will be permitted by the British Triathlon Federation (BTF) which stipulates all the procedures we must follow to ensure our event is Covid-19 secure. We are following the BTF Covid-19 Event Organiser Guidance and will be ensuring that our race is run in compliance with this guidance as at stands on race day.
  • The guidance is likely to change to reflect the conditions prevailing at the time.
  • We will ensure that competitors aremade aware of any Covid related requirements in the competitor information and know exactly what they are required to do on race day.

We are as desperate as you are to see our race go ahead. But to give you peace of mind we have changed our cancellation policy so that in the event we do have to cancel the race you will refunded on a fair and reasonable basis.

Please look at the Cancellation, Withdrawal & Refund Policies box on the Rules and Policies tab

General FAQs

Bib numbers and start times will be issued via e-mail 2-3 weeks before the event.

....please take a look at the latest start times list

The first runner will set off at 6:30am.

We take into account a range of factors when determining the run start times to ensure the best experience for everyone in our event. If we know in advance we may be able to accommodate such a request.

The essential kit is a trisuit (or t-shirt and shorts), a bike in roadworthy condition with a puncture repair kit, a water bottle, a bike helmet, bike shoes and running shoes

Your race number can be attached to a race belt which is worn around your waist.  You would put it on after the swim when you are in transition with the race number showing at the back for the bike leg and then simply slide it round to the front for the run leg.  Most triathletes find it faster and more convenient to use a race belt instead of having different race numbers pinned on to clothing.

You are responsible for fixing a puncture on the bike course and should be carrying a puncture repair kit.  However, there are marshals on the course who will try to help you if you are unable to do it yourself.

The Bike Warehouse, our local cycle shop and one of our race sponsors, will have a stand near the transition area for last minute bike mechanicals and basic kit repairs.

There’s a bit of everything on the run - packed earth (or mud depending on the weather), grass, tarmac and tracks.

There will be a water station on the run course

There are no toilets on the course. Portaloos are available outside the Leisure Centre

No! These items are not allowed in any phase of the race. Please refer to the BTF Rules.

Yes.  Paramedics will be available.  One unit will be based at the Leisure Centre and one unit will be mobile on the back of a motorbike.
